What to check before an AI notetaker joins the room

Consent basics (not legal advice)
An AI meeting assistant hears other people’s voices. That is why consent is a product question and a legal one. We will not tell you what the law requires in your jurisdiction. We will tell you what to look at.
- Visibility. Can everyone in the meeting see that a notetaker is present? Greg joins Zoom, Google Meet, and Microsoft Teams as a visible, named participant — a consent-friendly join, not a hidden recorder.
- Who is responsible. Greg’s product copy is explicit: you are responsible for obtaining consent from participants where required by applicable law. A visible bot does not replace that duty.
- Notice. A name in the roster is one signal. Some rooms still want a spoken heads-up or a calendar note. That is your process, not a feature we invent here.

A vendor checklist for AI meeting notetaker privacy

- Does the vendor sell personal data or meeting content?
- Does the vendor use meeting content to train AI models? Is that a default, an opt-out, or a contractual no?
- Which subprocessors see audio, transcripts, or account data?
- Is the notetaker visible in the meeting, or can it run silently on a device?
- How do you delete meetings, and how do you delete the account?
- What is retained on the free plan versus paid plans?
